Regal Tracks Safaris is a safari company based at Gateway Mall, Syokimau, Kenya. In this policy, “we”, “us” and “our” mean Regal Tracks Safaris, and “you” means anyone who uses our website at regaltrackssafaris.com or our services. We decide how and why your information is used, which makes us the data controller for it.

Information you give us

When you enquire, book or travel with us, you may share:

• Your name, email address, phone or WhatsApp number and country of residence.
• Trip details such as travel dates, destinations, group size and the ages of travellers.
• Details needed to book your safari, such as passport information for park permits, lodges and flights.
• Dietary needs, mobility needs or health information that affects your trip, if you choose to tell us.
• Payment records, such as bank transfer references and amounts.
• Anything you write to us by email, on WhatsApp or through the forms on our website.

Information collected automatically

When you browse our website, we and our service providers collect some technical information, such as your IP address, browser type, device, the pages you visit and how long you stay. We use Google services, connected through Site Kit, to understand how our website is used.

Cookies

Cookies are small files stored on your device. We use them to keep the website working, to remember your preferences, such as tours you save as favourites, and to measure visits. You can block or delete cookies in your browser settings, although some parts of the site may then not work as expected.

How we use your information

• To answer your enquiry and prepare quotes and itineraries.
• To book and run your safari, including lodges, camps, transport, flights and park permits.
• To take payments, issue refunds and keep financial records.
• To keep you informed before and during your trip, including any changes to your itinerary.
• To look after your safety and wellbeing while you travel with us.
• To improve our website and services.
• To send you news and offers, but only if you have agreed to receive them.
• To meet our legal, tax and regulatory obligations.

Our lawful basis

We only use your information where the law allows it. Depending on the situation, that means:

• Contract: we need it to arrange the safari you have asked for.
• Consent: you have agreed, for example to marketing emails or to sharing health details. You can withdraw consent at any time.

• Legitimate interests: it is reasonably needed to run and improve our business, in a way that does not override your rights.

Who we share it with

We never sell your personal information. We share it only where it is needed to deliver your trip or run our business, with:

• Lodges, camps, hotels, airlines and transport partners that provide parts of your safari.
• Park and wildlife authorities in Kenya, Tanzania and Uganda when we buy permits or entry fees for you.
• Banks and payment providers that process your payments and refunds.
• Providers that host our website, deliver our emails and measure website use.
• Government or law enforcement bodies, where the law requires us to.

We ask every partner to protect your information and to use it only for the purpose we shared it for.

Transfers outside Kenya

Many of our safaris cross borders, so some of your information is shared with partners in Tanzania and Uganda, and some of our service providers store data outside Kenya. When this happens, we take reasonable steps to keep your information protected, as the Data Protection Act requires.

How long we keep it

We keep your information only as long as we need it for the purposes in this policy. Booking and payment records are kept for as long as Kenyan tax and accounting rules require. Enquiries that do not become a booking are deleted once they are no longer useful. Marketing details are kept until you unsubscribe.

Keeping it secure

We use reasonable technical and organisational measures to protect your information, including secure connections on our website and restricted access to booking records. No way of sending or storing data online is completely secure, so we cannot promise absolute security, but we act quickly if a problem arises.

Your rights

Under the Kenya Data Protection Act, 2019, you have the right to:

• Be told how your information is used.
• Ask for a copy of the information we hold about you.
• Ask us to correct information that is wrong or incomplete.
• Ask us to delete information we no longer need or should not hold.
• Object to, or ask us to limit, how we use your information, including for marketing.
• Withdraw any consent you have given.
• Ask for your information in a format you can move to another provider.

To use any of these rights, email info@regaltrackssafaris.com. We may ask you to confirm your identity first. If you are unhappy with how we handle your information, you can complain to the Office of the Data Protection Commissioner in Kenya.

Children

Our website is meant for adults planning travel, and we do not knowingly collect information directly from children. When a family books with us, we collect details about children who are travelling only from their parent or guardian, and only what we need to arrange the trip.

Our website links to other services, such as WhatsApp, Google Maps and partner sites. We are not responsible for how those services handle your information, so please read their own privacy policies.

We may update this policy from time to time. The date at the top of this page shows when it last changed. If a change is significant, we will make it clear on our website.
